AGENCY COORDINATOR
remote position

We are looking for a remote AGENCY COORDINATOR to oversee agency administration, operations and project management.

This role is best suited for an integrator type and the ideal unicorn will thrive in setting up and managing our internal processes and systems, and supporting our active clients.

About the role

ROLE BREAKDOWN:

→ 30% agency admin, tracking billing, tracking timelines, client onboarding

→ 30% orchestrator behind our project management software, clickup

→ 20% client troubleshooting / support

→ 10% supporting sales with scheduling our client kickoff calendar

→ 10% team communication sorcerer / integrator of high level ideas

RESPONSIBILITIES //
  • Coordinate day-to-day agency administrative activities to ensure timelines are smooth, payments are on time, clients are happy, and the team is operating efficiently.
  • You’ll be reporting directly to the founder & CEO.
  • Manage & monitor referral and affiliate partner payouts.
  • Manage & monitor client invoicing and team payroll. Cross reference them for accuracy, and flag financial leaks // suggest ways to iterate.
  • Assign creatives and account managers to projects (think of it like a Hogwarts sorting hat exercise) and schedule project kickoffs. Manage the agency project calendar to ensure accurate capacity measures.
  • Troubleshoot issues related to projects and client communications. Assist with client requests // scope additions, support with client escalations.
  • Lead project management and operations meetings.
  • High level support & executing key deliverables for our product shop.
  • Track important KPIs and communicate these regularly with the CEO and other appropriate team members.

  • Proactive optimization of systems and processes to ensure smooth agency operations. Ie, adjustments to client project management, rolling out new SOPS for client onboarding, updating contractor scheduling systems. This part of this role is highly creative and we’re always open for enhancements!
REQUIREMENTS //
  • 3+ years experience in project management or operations, with preferred creative agency experience.
  • Long term commitment. This isn’t a dip in for 6 months and dip out later while you grow your own business kind of thing. No VA/OBM agencies please.
  • Bachelor's degree in business management or equivalent professional experience.
  • Bonus points if Southern California or Austin, TX based. This is a remote position, but we love getting together for team offsites, activities and hangs!
SKILLS //
  • Very comfortable (& borderline obsessed with) working with numbers (financials, budgets, timelines) and sheets with precision.
  • Proficiency in Slack, Google Drive. Bonus if you also have experience with Clickup, ActiveCampaign, Bill.com, Zapier, Dubsado, Quickbooks, Tapfiliate, Kajabi, Canva. If you’re lacking know-how with these platforms, must be willing to learn on your own time.
  • Highly detail oriented & naturally triple checks everything
  • LOOP CLOSER! You’re not simply doing a task, you’re following through with completion.
  • SELF SUFFICIENT! You exhaust your resources searching for (or simply ask Google) solutions to things before asking someone on the team. You must be willing to roll up your sleeves to problem solve and find creative solutions to administrative challenges independently
  • SUPER communicator. Overcommunication is a core value of ours!
  • You must be able to translate CEO vision into tangible action steps
  • Has high emotional intelligence and is able to listen to, support & encourage others

TRAINING & ONBOARDING //

We’re looking to onboard last week of May or early June
