Job Title: Capital Campaign Associate

Reports To: CEO and the Director of Patron & Donor Loyalty
FLSA Status: Full-Time, Exempt (or Non-Exempt as appropriate)
Location: Fort Myers,  Florida
Organization: Gulf Coast Symphony

Position Summary

The Capital Campaign Associate plays a key role in supporting a multi-year capital campaign that advances the mission and long-term vision of the Gulf Coast Symphony. This position provides essential administrative, logistical, and donor-facing support to ensure the timely and successful execution of campaign strategies. The Associate works closely with development staff, campaign leadership, board members, and volunteers to coordinate outreach, manage information systems, and deliver exceptional stewardship to campaign donors and prospects.

Key Responsibilities

Campaign Coordination & Administrative Support

  • Assist the CEO in implementing all aspects of the campaign plan, timeline, and benchmarks.
  • Schedule meetings, prepare agendas, and provide follow-up for campaign committees, leadership volunteers, and internal planning teams.
  • Maintain organized campaign files, calendars, and documentation.
  • Prepare briefing materials, reports, and presentations for staff and volunteers.

Donor Relations & Stewardship

  • Support cultivation and stewardship efforts, including preparing correspondence, pledge forms, customized proposals, and acknowledgment letters.
  • Coordinate donor meetings, tours, and small events related to the campaign.
  • Ensure timely processing and tracking of campaign gifts and pledges in collaboration with the development operations team.
  • Assist with tailored stewardship touches such as impact updates, recognition opportunities, and personalized communications.

Data Management & Reporting

  • Enter, maintain, and track donor and prospect information in the Capital Campaign database with a high degree of accuracy.
  • Generate campaign reports, dashboards, and progress updates for staff, board members, and campaign leadership.
  • Maintain prospect research files and assist with identifying new prospects in collaboration with development staff.

Communications & Materials

  • Support the production of campaign collateral, including case materials, talking points, email communications, and campaign newsletters.
  • Draft and edit written materials as needed to support donor outreach and engagement.
  • Collaborate with marketing and communications staff to align messaging and ensure brand consistency.

Event Support

  • Assist in planning and executing campaign-related events such as cultivation salons, donor briefings, and milestone celebrations.
  • Provide on-site support for events including setup, registration, guest management, and follow-up.

Qualifications

Required

  • Bachelor’s degree or equivalent experience.
  • 1–3 years of development, fundraising, or nonprofit administrative experience.
  • Strong organizational skills and ability to manage multiple tasks and deadlines.
  • Excellent writing, editing, and verbal communication skills.
  • High attention to detail, accuracy, and follow-through.
  • Proficiency with Microsoft Office Suite and CRM databases (e.g., Tessitura, Salesforce, Raiser’s Edge).
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Commitment to the mission and values of the opera company.

Preferred

  • Experience in major gifts fundraising or capital campaigns.
  • Background in the performing arts or cultural sector.
  • Familiarity with prospect research tools and fundraising best practices.

Work Environment & Additional Information

  • Evening and weekend hours are required for events and performances.
  • Position may require occasional lifting of materials and equipment (up to ~25lbs).
